Resource Administrator

Job Description

The Resource Administrator sits between our Professional Services, Sales and Operations teams and reports to the Operations Director. You will work predominantly with our Aiimi consultants and the Resource Scheduler. The role requires working with the Resource Scheduler in the scheduling of all consultants, so both independent self-direction, coupled with an aptitude for team collaboration and open communication is crucial. You should have a positive, can-do attitude and enjoy working in a fast-paced, dynamic team.

On the job training will be provided –this role is ideal for someone looking to break into the operations of a professional services environment.

Requirements

The key areas of responsibility for the Resource Administrator include:

  • Work with the Resource Scheduler to plan, resource and schedule all Aiimi consultants for current, proposed and pipeline projects in alignment with client needs
  • Work with the Resource Scheduler to ensure all projects are optimised and accurately resourced to maximise utilisation
  • Ensure that forecasting assumptions and resourcing levels are accurate, appropriate, and communicated effectively to the relevant stakeholders
  • Work with the Resource Scheduler to provide a weekly 90-day rolling forecast for Aiimi
  • Highlight current and potential scheduling issues to the Resource Scheduler
  • Highlight, and escalate as necessary, changes and issues with weekly rolling forecasts to the Resource Scheduler
  • Highlight schedule availability for consultants to the Resource Scheduler
  • Work with the Resource Scheduler to identify and proactively resolve the overallocation of resources
  • Help create and maintain up-to-date consultant profiles for all current and new consultants
  • Work with the Resource Scheduler and sales managers to track commercial paperwork lifecycles and ensure all signed commercial agreements are filed in the correct locations
  • Work with the Resource Scheduler on the ad hoc scheduling of consultants to assist the service desk where needed
  • Regularly audit on-going projects and close down completed projects as needed
  • Assist the Resource Scheduler in maintaining a consistent view of the Aiimi Services lifecycle from sales deals to project set-up, delivery and security
  • Other ad hoc administrative duties as required

Ideal experience for this role

  • Demonstrable experience in working through the unforeseen challenges of a long-term task
  • Interest in, and the potential to, find new ways of handling complex or ambiguous situations
  • Understanding of current technologies, especially Microsoft Excel, with the desire to learn new software in line with the requirements of the role
  • Proven organisational and planning skills with the ability to work within tight deadlines and competently carry out necessary administrative tasks in line with the requirements of the role
  • Experience of successfully working within a large team to achieve a mutual outcome
  • A sense of curiosity and a genuine interest in calendars

  • Competitive Salary with great benefits
