Resource Scheduler

Job Description

The Resource Scheduler sits between our Professional Services and Operations teams and reports to the Operations Director. You will predominantly work with our Aiimi consultants and the Resource Lead. The role requires both independent self-direction, coupled with an aptitude for team collaboration and open communication. You should have a positive, can-do attitude and enjoy working in a fast-paced, dynamic team to effectively prioritize and manage multiple and competing streams of work.

On the job training will be provided – this role is ideal for a recent graduate and/or someone looking to break into a Project Management Office (PMO) role and/or the operations of a professional services / consultancy environment.

This role will see you working with the Resource Lead to:

  • Schedule all Aiimi consultants for current, proposed and pipeline projects in alignment with client needs
  • Ensure all projects are optimised and accurately resourced to maximise utilisation
  • Ensure that forecasting assumptions and resourcing levels are accurate, appropriate, and communicated effectively to the relevant stakeholders
  • Produce a weekly 90-day rolling forecast for Aiimi Services
  • Highlight current and potential scheduling issues and schedule availability for all consultants
  • Identify and proactively resolve the overallocation of resources
  • Highlight, and escalate as necessary, changes and issues with weekly rolling forecasts
  • Create and maintain up-to-date consultant profiles for all current and new consultants
  • Track commercial paperwork lifecycles and ensure all signed commercial agreements are filed in the correct locations
  • Accurately set-up and regularly audit on-going project budgets and close down completed projects as appropriate
  • Understand and maintain a consistent view of the Aiimi Services lifecycle from project set-up, and scheduling through to invoicing
  • Manage company-wide annual leave requests and processes
  • Create onboarding packs for new starters and carry out inductions as appropriate



  • Proficient understanding of current information technologies, especially Microsoft Excel, PowerPoint, Outlook and SharePoint, with the desire to learn new software in line with the requirements of the role
  • Proven organisational and planning skills
  • Able to demonstrate a willingness and ability to work as a team player
  • Proficient email and IM management
  • Able to accurately understand and manipulate large of amounts information, especially numbers
  • High degree of flexibility and thinking on your feet
  • Excited by a challenge and thrives on variety in day-to-day work
  • A sense of curiosity
